Recruitment Marketing Public
In-Person Events let you run recruitment events such as career fairs, campus visits, and open days - end-to-end from your Recruitment Marketing account. Each event gets its own branded page on your careers site where candidates register, and you manage invitations, confirmations, reminders, attendance tracking and a live performance dashboard in one place.
To create an in-person event, first set up your event landing page template and your in-person event email templates. The details you enter when creating the event power both of these.
Event Setup
- From the side menu, under Events, click Events/Live chats.
- The Events list appears. In the top right corner, click New.
- There are four steps to complete: Event Campaign Details, Additional Resources, Preview Email Invitation, and Preview Event (Landing) Page.
- On the Event Campaign Details step, select In-person as the event type. This can't be changed after the event is created. For a virtual live chat event, see Creating Live Chat Events instead. Then enter:
- A Title and, if required, a Subtitle.
- City and Address: Enter where the event is held.
- Enter a Description of the event.
- For the event Date and Timing: Set a start and end, or mark the event as running continuously.
- Visibility: Select Public or Private.
- Optional - Capturing candidates on the day: If you want to capture candidate details on a shared device at the event, select a Call to Action form and set the Unlock code, Foreground Color, Background Color, and Start/Finish Screen Text. See Creating a form type Call-to-Action and the Capture App articles.
- Click Next.
- On the Event Campaign Details step, select In-person as the event type. This can't be changed after the event is created. For a virtual live chat event, see Creating Live Chat Events instead. Then enter:
- On the Additional Resources step, add an image for the event. This is optional and displays on the event landing page.
- Click Next.
- Based on your in-person invitation email template, the invitation email previews here. There's an option to send a test in the top right corner. For details on email setup, see Adding company branding to candidate facing emails.
- Click Next.
- A link to open and preview the Landing Page will appear. Click it to review the page, then select Finish. You will be directed to the Event Dashboard.
The Event Landing Page
Each event gets its own branded page on your careers site, published under Web Pages in the Page Templates - Events Pages card via the In-Person Event Template Page. The page includes a sign-up block for candidates to register, the event details you entered, and an Add to calendar option (Google, Outlook, Apple). You can add further content blocks to the page as needed.
Candidates who register from this page automatically trigger your event's email comms.
Automated Emails
In-person events use their own set of email templates: In-person Candidate Invite, In-person Registration Confirmation, and In-Person Event reminder, which are sent automatically at each touchpoint. Set these up and map them under Company > Settings > Candidate Email Templates > In-person events. Templates are separate from virtual events and fully customizable to your brand.
In-person Events in Recruitment Marketing
Once created, the event appears in the Events list page within Recruitment Marketing. The icons under the Actions column are:
- Edit (pen icon): Opens the event form for edits.
- Preview page (link-out icon): Opens the event landing page.
- Invite (envelope icon): Opens the Candidate Grid to search, select and invite candidates using bulk actions.
- Duplicate (copy icon): Creates a new event from a copy of this one, rather than starting from scratch.
- Delete (bin icon): Deletes the event.
Event Dashboard
Open an event to see its dashboard.
The key information displayed includes:
- Total Registrations: The number of people who have registered for the event.
- Invite Conversion: The percentage of people who registered after being sent an invitation.
- Organic Subs: The number of people who registered from the event landing page and were not invited by email.
- Attendees: The number of people who attended. Use Upload attendees list to import a post-event CSV of who attended on the day.
Tracking Candidate Interaction in the Candidate Grid
On the Candidate Grid, you can filter to see which candidates were Invited, Subscribed, or Attended for your event.
To display event data:
- From the side menu, under CRM, click Candidates.
- Click the Columns button (top right).
- Click Interaction to expand the list and select the Events column.
To filter by status:
- Click the Filters button (top left).
- Click Interactions to expand the filter list and select the event filter.
- Apply your conditions, including a Date Range and Event status (Invited, Subscribed or Attended). For further detail, refer to Creating a list - Filtering.
- Click Apply.
The list updates based on your selection.
