Creating Live Chat Events

Employee Connections allows customers to create Live Chat events, which allow users to ask questions to Ambassadors at the company in real time. 

To create a Live Chat event, you will first want to have set up the Live Chat Template Page and candidate Live Chat Email Templates. The data that you enter into the Live Chat creation will power all of these templates to make promotion straightforward. 

Event setup

  1. From the side menu, under Events, click Events/Live chat.
  2. The Events list page will appear. In the top right corner, click the New button.

  3. There are four steps to complete when creating a Live Chat. You will want to ensure to tick "Virtual" as you start the form. After finishing the first page, click Next to proceed to the Additional Resources section.

  4. Once all desired information is entered, click Next.
  5. The Additional Resources are all optional. Once all desired information is entered, click Next.
  6. Based on previously created Email Templates the Invitation email will preview. More details on email set up can be found here. There is an option to send test in the upper right corner, if desired. Then click Next.
  7. Finally a link to open the Live Chat landing page will show. Click to review the page and then click Finish. You will be taken to the Event Dashboard.

Note:

If the header image is not set on the form, the default that is set in the Live Chat template page will be used instead.

Live Chat display in Recruitment Marketing

Once created, Live Chat(s) will be displayed in the Events list page within Recruitment Marketing. 

Live Chat Actions

The icons under the Actions column are:

  • Edit (pen icon): Opens creation of event form to allow for edits.
  • Preview Live Chat page (link out icon): Opens the Live Chat promotional page.
  • Join Virtual Live Chat (speech bubbles icon): Opens the Live Chat event interface, to begin speaking with candidates.
  • Invite (envelope icon): Opens the Candidate Grid for you to search/select and invite candidates to a Live Chat using bulk actions.
  • Duplicate (duplicate icon): Rather than start from scratch, edit a previous event to make a new one.
  • Delete (bin icon): Delete the event.

Live Chat Dashboard

Key information is shown on the dashboard:

  1. Total registrations: The number of people who have subscribed to the event
  2. Invite conversions: Percentage of people who subscribed after being sent an invite email
  3. Organic Subs: The number of people who registered from the Event Landing Page and were not invited by email.
  4. Attendees: The number of people who joined the Live Chat

Additional details on the dashboard buttons:

  1. Publish: Once completed, and all discussions are reviewed, click Publish to have the discussions show on the career site.
  2. Manage Discussions: Once completed, review all of the Live Chat discussions here. Often admins want to correct grammar, or remove some replies before publishing.
  3. Download: Click to download a CSV filled with information about the Live Chat. This includes all discussions, all attendees details and the survey results.
  4. Event Page: Opens the Live Chat promotional page.
  5. Edit Event: Opens creation of event form to allow for edits.

Tracking candidate interaction in the Candidate Grid

On the Candidate Grid, you can filter to see which candidates were Invited, Subscribed, or Attended your Live Chat Event.

To display Live chat data:

  1. From the side menu, under CRM, click Candidates.
  2. Click the Columns button (top right).
  3. Click Interaction to expand the list and select Live chats.

The Live chats column will now display on the Candidate Grid.

To filter by Live chat status:

  1. Click the Filters button (top left).
  2. Click Interactions to expand the filter list and select the Live chats filter.
  3. Apply your desired filter conditions. In addition to standard conditions, Live chats includes two specific sub-filters:
    1. Date Range: Select a specific date range or period of days.
    2. Event status: Filter by Invited, Subscribed, or Attended.

  4. Click Apply.

The list will update based on your selection.

Tip:

With the Live chats column displayed in the Candidate Grid, you can hover your mouse over a specific cell in a candidate's row to see their interaction history with other Live chats.
