Lists
Once you have created several lists in Recruitment Marketing, you may wish to make changes - changing a list name, for example, or adding and removing candidates.
System Lists cannot:
- be renamed
- have their type changed
- be set as a Favourite
- be deleted.
Editing a list
Managing list settings
- From the side menu, under CRM click Lists.
- Next to the relevant list, click the Edit icon.
- On the Edit List page, set the following fields:
- Name - provide a descriptive name for this list.
- What kind of list is this? - select the appropriate list type of either Static or Smart.
- Author - select the user who owns the list.
- What visibility should the list have? - this setting defines whether this particular list is visible to integrated 3rd party systems. The default value is "Normal", which means this list is visible to integrated systems via the API. If you change to "Restricted", the list and the list membership, will not be visible via relevant API calls.
- Click the Save button to keep any changes.
Changing filters
- From the side menu, under CRM click Lists.
- Click the name of the relevant list to view it.
- Make the required changes, and the results and the list will update automatically.
Deleting a list
Only active lists that are not currently in use in a Workflow can be deleted.

- From the side menu, under CRM click Lists.
- Next to the relevant list, click the Delete icon.
- Click OK to confirm the deletion, or Cancel the keep it.
Managing candidates in lists
Candidates can be manually added to or removed from static lists only.
This is because a smart list is dynamic and updates continuously based on the query set when the list was created. To add or remove a candidate or candidates from a smart list, you need to edit the smart list query so that it includes or excludes those individuals.

Adding a candidate to a static list
- From the side menu, under CRM click Candidates.
- The All Candidates List displays, where you can perform a simple or advanced search to find the relevant candidate(s).
For more information refer to Advanced candidate search. - Next to the relevant candidate(s) select the checkbox.
- From the right side, click the Lists button.
- From the drop down, select the Add candidates to another static list option.
- In the Add candidates to another static list pop up, select the relevant static list.
- Click the Add button.
Adding a candidate to a static list from their profile
- From the side menu, under CRM click Candidates.
- Use the search options to find the relevant candidate.
- Click the candidate's name to open their profile.
- Next to their name, click the Lists icon.
- Select the relevant list.
- Click the Add to lists button.
The new list should now be displayed in their profile under the Static Lists section.
Adding candidates to a static list using a workflow
Candidates can also be added to a static list automatically using the workflow tool.

Removing a candidate from a static list
Note: Currently, there is no bulk remove option.
- From the side menu, under CRM click Lists.
- Click the name of the relevant list.
- Alongside the relevant candidate, under the Actions column, click the Remove from list (X) icon.
- In the confirmation prompt, click OK to remove the candidate, or Cancel to keep them in the list.
