Lists allow users to easily edit, customize, and maintain their non-system lists, offering a choice between static lists for manual control and smart lists that update dynamically based on filters. It also provides multiple methods for adding and removing candidates, including manual, search-based, and automated workflow options.

Lists

After creating a few lists in Recruitment Marketing, you might want to make some changes, such as updating a list name or adding and removing candidates.

Recruitment Marketing also includes System Lists, which come with certain restrictions and cannot:

  • Be renamed.
  • Have their type changed.
  • Be marked as a Favourite.
  • Be deleted.

Editing a list

Managing list settings

  1. From the side menu, under CRM, click Lists.
  2. Next to the relevant list, click the Edit (pen) icon.
  3. On the Edit List page, update the following fields as required:
    1. Name: Provide a descriptive name for this list. 
    2. What kind of list is this?: Select the appropriate list type of either Static or Smart.
    3. Author: Select the user who owns the list.
    4. What visibility should the list have?: This setting defines whether this particular list is visible to integrated 3rd party systems. The default value is "Normal", which means this list is visible to integrated systems via the API. If you change it to "Restricted", the list and the list membership will not be visible via relevant API calls. 
  4. Click the Save button to keep any changes.

Changing filters

  1. From the side menu, under CRM, click Lists.
  2. Click the name of the relevant list to view it.
  3. Click the Filters button.
  4. Make the required changes to the filters
  5. Click the Apply button.

The results and the list will be updated. For more information, see Understanding filter conditions for details.

Deleting a list

Only active lists that are not currently being used in a Workflow can be deleted. For more information, refer to Creating a workflow.

  1. From the side menu, under CRM, click Lists.
  2. Next to the relevant list, click the Delete icon.
  3. Click OK to confirm the deletion, or Cancel to keep it.

Managing candidates in lists

Candidates can be manually added to or removed from static lists only.

This is because a smart list is dynamic and updates continuously based on the query set when the list was created. To add or remove candidate(s) from a smart list, you need to edit the smart list query so that it includes or excludes those individuals. For more information, refer to Creating a list.

Adding a candidate to a static list

  1. From the side menu, under CRM, click Candidates.
  2. The All Candidates List displays, where you can perform a simple or advanced search to find the relevant candidate(s). For more information, refer to the Advanced candidate search.
  3. Click the checkbox next to the relevant candidate(s).
  4. You can add the candidate(s) to a new or existing list. Above the list of candidates (bulk actions):
    1. Click Add to new list.
      1. Enter a name for your new list.
      2. Click Add.
    2. Click Add to existing list.
      1. From the Choose a static list drop-down, select the relevant list.
      2. Click Add.

Adding a candidate to a static list from their profile

  1. From the side menu, under CRM, click Candidates.
  2. Use the search options to find the relevant candidate.
  3. Click the candidate's name to open their profile.
  4. Next to their name, click the Lists icon.
  5. Select the relevant list.

Your selection is automatically saved, and the list will be displayed in their profile under the Static Lists section.

Adding candidates to a static list using a workflow

Candidates can also be added to a static list automatically using the workflow tool. For more information, refer to Creating a workflow.

Removing a candidate from a static list

Currently, there is no bulk removal option. Candidates will need to be removed individually.

  1. From the side menu, under CRM, click Lists.
  2. Click the name of the relevant list.
  3. Against the relevant candidate, under the Actions column, click the Remove from list (X) icon.
  4. In the confirmation prompt, click OK to remove the candidate or Cancel to keep them.

Exporting candidates from a list

When required, you will be able to export candidates within the list you're viewing. For guidance, see Exporting a Candidate List to Excel for details.
