This guide will walk you through the process of integrating your Dayforce solution with Recruitment Marketing.

Job Postings

To get started, you should set up the standard integration, which enables Recruitment Marketing to pull in your currently advertised jobs from Dayforce Recruiting so that these jobs can be posted on your Recruitment Marketing-powered career site.

Set up in Dayforce

First, we will need to set up a dedicated user account within Dayforce, which is assigned to a role that has the appropriate features enabled to allow it permission to execute the required web service calls.

  1. Log in to Dayforce using an account with admin permissions.
  2. From the main menu, under System Admin, select Roles.
  3. If a suitable Role does not already exist, create a new Role which has the following features enabled:
    1. HCM Anywhere
      1. Web Services
        1. Patch/Post candidate and job application sourcing
        2. Read data
  4. Save the newly created or updated Role, and make a note of its name.
  5. From the main menu, under System Admin, select User.
  6. If a suitable user does not already exist, create a new user, ensuring that the user is assigned to the Role created or identified in the preceding steps. Before saving the user record, make a note of the username and password for this user account, as this will need to be entered into the configuration within Recruitment Marketing.

    Note:

    It is recommended that you create a dedicated user account for the integration to allow for appropriate auditing and management of this account.

  7. From the main menu, under Recruiting Setup, select Client Properties.
  8. Within the Client Properties table, ensure that the following property is set to "True":
    1. Allow candidates and job application sourcing from external job boards
  9. Save any updates you have made to the Client Properties configuration.

This concludes the setup required within Dayforce.

Set up in Recruitment Marketing

  1. From the side menu, under Integrations, click ATS.
  2. Click the New button.
  3. Click the Dayforce logo.
  4. Complete the form details:
    1. Name: Enter a descriptive name for this integration.
    2. Client Credentials
      1. Namespace: This is your Company Name used for your Dayforce implementation.
      2. Username: Enter the username for the user account that you created previously during the Dayforce setup steps above.
      3. Password: Enter the password for the user account that you created previously during the Dayforce setup steps above.
      4. Subdomain: Optionally enter the subdomain related to your Dayforce implementation.
    3. General Configuration
      1. Default language code: Optionally enter the default language code (e.g., en-US).
      2. How are remote jobs identified: Indicate how remote jobs are identified. The available options are:
        1. Not required
        2. An ATS specific field: For Dayforce, this is the "IsRemoteLocation" field.
        3. Job title matches a regular expression: Enter the regular expression for fully remote or hybrid jobs in the following fields.
        4. Job description matches a result expression: Enter the regular expression for fully remote or hybrid jobs in the following fields.
      3. Regex to match remote job locations: Enter a valid regular expression to match to identify fully remote jobs.
      4. Regex to match hybrid job locations: Enter a valid regular expression to match to identify hybrid jobs.
      5. Identify hidden jobs using a jobs criteria: Optionally, enter the criteria to match to identify hidden jobs. Hidden jobs can only be accessed via the use of the direct URL for the job, and cannot be located via search functionality. For information on job criteria syntax, refer to Campaign job criteria.
      6. How often do you want to read jobs from the ATS: 15 minutes is recommended.
  5. Click Save.

Now that the configuration of your Dayforce integration is complete, the integration can be activated by clicking the Activate (play) button on the ATS Integrations management page within Recruitment Marketing.

Job Data Mapping

The following table details the mapping of data between Recruitment Marketing and Dayforce:

Apply URL Apply URL The URL the candidate will be redirected to in order to submit their application for the advertised job.

Embedded apply experience

In addition to the standard Dayforce integration, you have the option to provide your candidates with an embedded apply experience. The embedded apply experience allows candidates to complete their initial application for a job directly on your Recruitment Marketing-powered career site, rather than them being redirected to the Dayforce platform to submit that initial application.

In addition to providing your candidates with an improved user experience, enabling this embedded apply experience also allows Recruitment Marketing to gain visibility of the candidate status updates made to these candidates within Dayforce Recruiting as they progress through the recruitment process. At this stage, candidate status updates are only available for candidates who submit their initial applications via the embedded apply experience. Status updates are not available for candidates who submit their application in any other way, including those that are redirected from your Recruitment Marketing-powered careers site to the Dayforce candidate experience.

Considerations

When deciding whether to utilise the embedded apply experience, you should consider the following:

  • The embedded apply experience is intended to reduce the risk of candidate drop-off during the application process by minimising the redirects between systems within your TA technology stack.
  • To maximise the likelihood of candidates completing the initial application, you should look to keep your application forms (referred to as "Job application templates" in Dayforce Recruiting) as simple and concise as possible.
    • To this end, pre-configured question sections from Dayforce Recruiting, such as those listed below, are not supported by Dayforce or PageUp Clinch for inclusion in the embedded apply experience:
      • Personal Information
      • Work Availability Hours
      • Resume Upload (although a resume can be uploaded via the standard CTA field)
      • Education History
      • Employment History
      • References.
    • Where a more extensive application form is required for the purposes of a specific job requisition, you should consider utilising the standard Dayforce Recruiting application experience. By utilizing Job Routing functionality within Recruitment Marketing, you can target the embedded apply experience to appropriate roles, whilst utilising the standard apply CTA for other roles.
  • To deliver a simple user experience for the candidate, the various available question types used to build questions within the "Job application templates" within Dayforce Recruiting are mapped to three simple question types by Dayforce before they are passed to PageUp Clinch. The mapping is as follows:

Prerequisites

In order for the Embedded Apply Experience to be enabled, the Job Posting integration, which is documented above, needs to be successfully implemented.

Set up in Dayforce

No specific, additional setup is required within Dayforce beyond the configuration that was completed to facilitate the implementation of the Job Posting integration.

Consideration, however, should be given to the configuration of the "Job Application Templates" assigned to the job postings, taking into account the current capabilities of embedded apply experience as noted above.

Set up in Recruitment Marketing

Firstly, you will need to update the configuration of the existing ATS integration to allow Recruitment Marketing to look for candidate status updates for candidates who submit their initial application via the embedded apply experience.

  1. From the side menu, under Integrations, click ATS.
  2. Locate the Dayforce ATS integration you created previously, and click the Edit (pencil) option.
  3. Update the configuration as follows:
    1. How often do you want to read candidate data from the ATS: 15 minutes is recommended.
  4. Click Save.

Next, you will need to enable the embedded apply experience of one or more of your Apply calls to action.

  1. From the side menu, under Content, click Calls-To-Action.
  2. If you would like to create a new call to action to facilitate the embedded apply experience, refer to Creating a form type call-to-action (CTA).
    1. As noted above, pre-built Dayforce section types, including, but not limited to, the Personal Information section, are not currently supported by Dayforce for inclusion in third-party solutions, so ensure that your Recruitment Marketing call-to-action captures:
      1. First name
      2. Last name
      3. Email address
      4. Telephone number (optional)
      5. Resume (optional, but recommended).
  3. On either your new or existing call-to-action, add a new form field:
    1. From the Form Fields page, click New.
    2. Complete the form as follows:
      1. What is the name of this field? Enter a descriptive name for this field, such as Application Questions.
      2. What type of field is it? Select Job Application Questions.
      3. Show labels for each job application question? Select this by ticking the box.
    3. Click Save.
  4. Edit your existing or newly created call to action, and update as follows:
    1. Will the candidate make a direct application from the call to action? Tick the box to enable this option.
  5. Click Save.

Finally, if you have created a new call-to-action, you will need to assign this to the appropriate job description template pages. For information on this, refer to Creating and adding a recruiting Call-to-Action. As noted above, you may wish to utilise Job Routing to differentiate the apply experience for different cohorts of candidates.

With the above configuration in place, candidates who completed the embedded apply experience directly within your Recruitment Marketing-hosted career site will be presented with a confirmation message upon successful submission of their application, rather than being redirected to Dayforce Recruiting to complete that application.

You should take appropriate steps to ensure that the candidate is clear that their application has been successfully submitted. This may include some of the following:

  • Provide a clear confirmation, including details on expected next steps, as part of the Confirmation Text on the apply call-to-action.
  • Send an automated confirmation email and/or SMS message from Recruitment Marketing via a workflow.
  • Send an automated confirmation email from Dayforce Recruiting.
