Conversational Career Site Chatbot

As the talent marketplace continues to be competitive for many organisations, it is important that you take every opportunity to ensure you are appropriately enabled to engage with an increasingly multi-generational talent community.

We are seeing an increasing preference from certain generations to be able to engage with you in a more informal, conversation style. That's where our new AI powered conversational chatbot will come into its own.

By offering a conversational chatbot interface that allows potential candidates to search and apply for roles, and find answers to their frequently asked questions, this update ensures you can meet candidates where they are.

Career Website: Employee Connection Content Blocks

The authentic employee-generated content created via the Employee Connections module is an important aspect of your Talent Acquisition strategy. We are working on ways to allow you to utilise that content in other areas of your Recruitment Marketing powered career site.

To achieve this, we are building our dedicated Employee Connections content blocks, which can be included in both web pages and email communications to allow you to share that engaging content more widely with prospective candidates.

Schedule a Conversation

We recognise that it is important to humanise the right moments within the recruitment process, and how conversations between recruiters and current or prospective candidates are a vital part of helping attract the best talent for your organisation. With this in mind, we are building an integration with Cronofy, a leading provider of calendering technology that allows customers to easily let candidates self-book themselves into 1:1 conversations with Recruiters.

Employee Connections: Updated Live chat landing page

The Live chat landing page has been updated to include three new key features. 

  1. The ability to add to calendar - easily add to Google, Outlook, Office 365, Yahoo, or iCal.
  2. Pre-ask a question. The pre-asked questions will be available to Admins and Insiders 10 min before the Live chat begins to allow extra time to answer the question.
  3. A tutorial of the Live chat, unique to the functionality of an Admin, Insider or Candidate.

LinkedIn CRM Connect: Enhanced 1-click export

Earlier in 2024, we were proud to partner with LinkedIn to be one of the first organisations globally to offer the new LinkedIn CRM Connect integration between your Recruitment Marketing CRM and LinkedIn Recruiter.

One of the key benefits of the LinkedIn CRM Connect integration is the ability for Recruiters or Sourcers working in LinkedIn Recruiter to easily export candidates of interest directly into Recruitment Marketing, where they can then be engaged and nurtured through their recruitment journey with you.

In partnership with LinkedIn, we've now expanded the candidate information which is available to you within the Recruitment Marketing system for the talent you choose to export using the 1-click export from LinkedIn.

New data includes the candidate's top skills, their education and two most recent work experiences. Additionally, if you know the candidate's email address, you can now include that in the export, and have it automatically added to their Recruitment Marketing profile as it is created.

Automated Workflows: Add candidate to a project

In conjunction with the implementation of the enhanced 1-click export for the LinkedIn CRM Connect integration, we wanted to make it easier for you to automate the nurture of the new candidates that you are bringing into your CRM database from LinkedIn.

With that in mind, we've made available a new trigger option which can be used to initiate an automated workflow. You can now configure a workflow to be triggered when a candidate is first added to a Project within Recruitment Marketing. When configuring the workflow, you can differentiate the experience based on the particular project the candidate was added to, allowing you to easily deliver a highly tailored experience.

AI Content Assistant: Content optimisation

The first release of our AI Content Assistant gave you a helping hand with generating new content for your career site by giving you a head start in creating engaging blog posts.

The next evolution of the AI Content Assistant sees the capability grow significantly - both in terms of where you can leverage it for assistance, and also in terms of the tasks it can help you with.

The AI Content Assistant is now available everywhere in the system where you are generating or editing content:

  • Email & SMS messages
  • Blog posts
  • Website text blocks
  • Manually created job descriptions.

In terms of its expanded capabilities, you can now get assistance in optimising your existing content, as well as generating new copy.

The options available to you vary depending on the type of content being edited:

  • Rewrite: Take your existing content and rewrite it in an alternate style. This option can also be used to generate new content.
  • Proofread: Let the AI Content Assistant check for email and grammar errors, and automatically fix them for you.
  • Title: Get suggested titles based on your content.
  • Summary: Generate a short summary of your content.
  • SEO Keywords: Have the AI Content Assistant propose some effective keywords to use for search engine optimisation.
  • Social posts: Suggested posts for social media based on your content.

SeekOut: Candidate sourcing integration 

We are excited to announce an integration with SeekOut which will help our mutual customers achieve a higher level of efficiency when using Recruitment Marketing's automated nurture capabilities to engage talent that they've originally identified via SeekOut's extensive candidate database.

SeekOut helps you to recruit hard-to-find, diverse talent. Their AI-powered candidate search and personalised messaging capabilities allow you to find qualified candidates for specialised roles within your organisation.

Enabling the integration between Recruitment Marketing and SeekOut makes it simple to export the great candidates that you've discovered via the SeekOut platform directly into your CRM database in Recruitment Marketing. They can then be further automatically nurtured and engaged until they are ready to take the next step in their recruitment journey with you.

Employee Connections: Ability to add pronouns

A key importance for our customers is to attract a diverse candidate pool. This comes with the desire to make everyone feel welcome to ask a question and apply. We have now added the option for candidates to add pronouns to their profile, both always on the platform and on the Live chat. 

Employee Connections: Google login and One Time Password

Candidates will be able to log in even smoother with the inclusion of Google Single Sign on for candidates. By simply clicking "Continue with Google" the user will be logged in with their Google account. In addition, candidates will no longer need to remember a password to log in. They will receive a one time password to their email to log in. A simpler and more secure method of signing in.

The secure one-time password includes logging into the Admin area of Employee Connections. If you would prefer, SAML SSO is simple and easy to set up to streamline sign in even further.

Employee Connections: Formatted discussions

We have improved the styling of discussions on the platform. Including the ability to use bold, italics, underline, lists, hyperlinks and more to the text of discussions. This will help insiders reply to questions with the detail and structure desired to curate the best reply.

Automatically upload candidate email attachments

When you receive an email response into Recruitment Marketing from a candidate which contains attachments, such as the candidate's resume or perhaps a cover letter, it is now possible to configure the system to automatically add those files to the candidate's profile. Once the files have been processed, they will appear in the Files tab on that candidate's card within the CRM.

View ATS Candidate Identifiers

There can be scenarios where it is helpful to be able to easily reference the unique identifier from your integrated ATS system for a particular candidate within Recruitment Marketing. We've made it easy to locate this information by adding a new section to the candidate card titled "ATS Details". The name of the relevant ATS integration will be listed, along with the candidate's ID within that particular system.

Location management updates

The administration of job locations within Recruitment Marketing has been updated to ensure that it continues to be simple and intuitive to manage the job location information within the system - whether they be locations that have been created automatically via an ATS integration, or directly within the system itself.

Key improvements include:

  • New filters on the main locations page allow you to identify which locations belong to a particular ATS integration.
  • When viewing the details of a particular location, you will be presented with a read-only view, minimising the risk of any unintentional updates being made.
  • Details of the jobs which are utilising that location have been split out into a separate screen to allow effective presentation when there are large numbers of jobs involved.

Additionally, the ability for Workday ATS customers to choose how to manage individual locations, which was discussed in detail here, has been made available to all Workday ATS customers after a successful pilot period.

Refer a friend: Enhanced candidate consent options

Candidate referrals, where a visitor to your career site suggests a friend or colleague for a role with your organisation, are acknowledged to be a great source of high quality candidates.

Depending on the geography you are operating in, you may have requirements under legislation such as the General Data Protection Regulation (GDPR) to ensure that you are obtaining explicit consent from potential candidates before you capture their personal information or reach out to them with information about potential opportunities.

To support you in this, we've introduced an alternative configuration option when setting up candidate referral functionality within Recruitment Marketing which provides you with the opportunity to gain the appropriate consent from the referred candidate, should you decide that this is necessary in your circumstances.

Employee Connections: Live Chat Improvements

The next round of improvements for the Live Chat has arrived! After listening to customer feedback we have upgraded the latest features:

  • Welcome call to action to candidates to encourage asking a question.
  • Larger logo to display the customers' branding.
  • Usage of primary and secondary colours to again improve customer branding.
  • Question cards show if a question is assigned or not - no need to click to view the entire question.
  • Global messages and Welcome messages can be reopened by the candidates.
  • Candidates can join the Live chat anonymously - but don't worry, admins are still able to see their data on the client portal, same as if an anonymous question is asked.

We have added the Improved perception score to the admin dashboard. In addition, admins can hover over the stats and see a tooltip detailing the stat. 

Two Factor Authentication

Whilst the majority of our Recruitment Marketing customers utilise SAML based Single Sign-On to securely access the system, there are several users, who for a variety of valid reasons, need to access the system via a standard username and password login.

Two-factor authentication (2FA) is a security system that requires two distinct forms of identification to access an account, strengthening its security. As a Recruitment Marketing user, you now have the option to enable 2FA, which adds a second step to the login flow where you input a code from an authenticator app such as Google Authenticator.

To enable 2FA on your account, refer to Two Factor Authentication.

Triggering an automated Workflow by tagging a candidate

Many of us are currently having to do more with less, and therefore, it is important to look for opportunities to automate where appropriate.

That's where the latest addition to our automation capabilities might help to free up some valuable time in your day. It is now possible to trigger an automated workflow within the Recruitment Marketing product when you add a tag to a candidate.

Depending on how the workflow is configured, the system will activate to perform one or more actions which could potentially include:

  • Delivering an automated email to either the candidate or a team member, and
  • Delivering an SMS text message
  • Adding the candidate to a list or project.

Whilst tagging will often occur directly via the candidate profile card, candidates who are tagged via other workflows, as well as via the API will also trigger workflow.

Enhanced Email Campaign management

We've made some exciting enhancements to our Email Campaign functionality, making it easier for you to manage this important aspect of your candidate nurture and engagement strategy.

Firstly, we've added the ability for you to specify that an email campaign should commence sending at a specific date and time in the future. This capability removes the need for someone on your team to be on hand to click send at the desired time, meaning you can set and forget, confident in the knowledge that your campaign emails will start to hit candidates' inboxes even if you are not around to kick things off.

Additionally, we've made a number of changes to the Email management functionality within the system, with the key improvements being:

  • The "Delivered" column has been replaced by separate "Sent" and "Received" columns, which allows you to more accurately understand the current status of your email campaign.
  • The ability to resend existing email campaigns - either to new candidates on a list you've already sent the campaign to or alternatively, to a completely different list.

The later enhancement allows you to easily leverage existing campaign emails again, without the need to make a copy of the campaign each time. The new Email Activity screen provides a detailed breakdown of the occasions you have triggered the email campaign to send to candidates.

Employee Connections: SAML Single Sign On (SSO)

We have released a SAML 2.0 Single Sign On integration for Admins and Insiders to have a simpler login than the Employee Connections platform. This integration will be between our customer's Identity Provider (IdP) and ourselves. Common IdPs include Okta, Google and Entra ID (formerly Azure AD), but we will be able to integrate with any SAML 2.0 identity provider.

Employee Connections: Update question review date

Sometimes the questions with the best answers and most views are a few years old. This makes the content look less relevant and out of date. With the new ability to update the question review date, the content will always look fresh and relevant.

Employee Connections: Enhanced Live chat - attach PDFs and links

Admins are now able to add PDF documents and URLs at the point of creating a Live chat. With the ability to attach documents it is possible to share content such as; Employee benefits, Leave policies, Culture flyers, Interview processes and more. This additional customisation allows for a clear sharing of content to all attendees of the Live chat.

Workday ATS Integration: Candidate Tags

To assist recruiters working with candidates in the Recruitment Marketing CRM tags which have been assigned to applicants within the Workday ATS will automatically be synchronised to the corresponding candidate record within Recruitment Marketing when the candidate status integration runs.

It should be noted that any tags which are assigned to the candidate directly within Recruitment Marketing will not automatically be synchronised to the corresponding applicant record within Workday.

Tags will be automatically synchronised for all customers utilising the Workday API integration, with no additional configuration required with Recruitment Marketing.

"Send me this job" CTA & Workflow

If a candidate is not quite ready to apply for the role that they are viewing on your Recruitment Marketing powered Career Site, including a "Send me this job" call to action on the job details page can be an effective way of maintaining engagement with that potential candidate.

We've added new merge fields to both email and SMS templates that make it easy to set up communications which can be automatically sent to the candidate via an automated workflow when the candidate completes the "Send me this job" call to action on your career site.

Email Jobs List Block: Filter by job criteria

We know that including a list of currently open job opportunities within your candidate nurture emails is a great way to attract and engage potential applicants.

In addition to including recommended or recently posted jobs within the Jobs List blocks in your campaign emails, we've now made it possible to also filter your Jobs List using the familiar "Jobs Criteria" that you utilise elsewhere within the system.

Sunset notice: Job Advertisement translations

The functionality which allows customers with multiple languages enabled on their Recruitment Marketing career site to machine translate their job descriptions into alternate languages will be sunsetted from 5 June 2024.

A recent review of language translation functionality within the Recruitment Marketing module has highlighted extremely low customer adoption of this particular capability. As such, a decision has been made to end support for this feature.

The ability to translate other content within the Recruitment Marketing product is unaffected and remains available to you if enabled within your system.

Employee Connections: Pin a reply

Discussions are updated with new replies and additional details. Sometimes even videos replies are added after the initial text response. This can lead to the best responses to a question being too low down on the discussion page. 

To aid in ensuring the best response can stay at the top of the page and receive the most views, Admins are now able to pin a reply to the top of a discussion page. Simply click "Pin reply" on the response (either text or video) and it will stay at the top.

Employee Connections: Merge multiple questions into one discussion

From the feedback provided by customers, we find that a common pain point is answering a similar question from candidates multiple times. These similar questions dilute the categories and make it hard for candidates to find what they are looking for. With our latest feature, Admins will be able to merge one discussion with the other. This means that the replies from both will show under one question, cleaning up the platform and directing new candidates to the best answer in one place.

Career Website: Live Chat Content Blocks (Employee Connections)

As part of our strategy to allow customers with the Employee Connections module to widely showcase their employee-generated content throughout their wider Talent Acquisition strategy, we have released the first of our dedicated Employee Connections content blocks.

The first block to be released focuses on promoting Live Chat events which are interactive question and answer sessions that allow you to engage with a specific cohort of candidates to cover a specific topic. For example, a Live Chat may focus on early career candidates, or perhaps you may run a session dedicated to DE&I within your organisation.

Whatever the topic, the new Live Chat content blocks allow you to showcase upcoming and completed Live Chat events both on your careers site and also within nurture campaign emails, helping to maximise registrations and engagement with the events.

Employee Connections: Improved Moderation, Search and Feedback on the Enhanced Live chat

With the latest release Admins have been given more moderation features. They are able to ban candidates from the Live chat and delete discussions and replies. To help candidates ensure their question wasn't already asked, they are now able to search through discussions as well. 

Gaining feedback on the success of a Live chat is important to our customers. Therefore, we have added a "Share feedback" button in the upper right of all Live chats, giving the candidates the opportunity to give feedback at any point during the Live chat.

Employee Connections: Enhanced Live chat 

Sharing authentic employee experiences is improved with the latest version of the Live chat. Along with a better User Experience, the platform boasts many new features. This includes the ability for candidates to select their preference for "Dark or Light mode". 

Admins will be able to "Pin Questions" to the top of all questions to ensure the best content is viewed by candidates. 

Which Insider is answering a question is now simplified with our "Assign a Question" feature. Admins can assign questions to Insiders, which are shown at the top right of the question for all to see. The Insider receives a notification and the question appears in the "Assigned to Me" tab on the Live chat.

Asking Insiders to add to a chat is also simplified with our "Mention" feature. Simply type @ within a reply and a list of all Insiders will pop up. When selected, and the message has been sent, the Insider receives a notification and the question is now displayed in the "Mentioned" tab on the Live chat.

LinkedIn CRM Connect: General Release

We are extremely excited to announce that the LinkedIn CRM Connect integration is now available to all eligible customers.

LinkedIn is an important source of candidates for many of our Recruitment Marketing customers, and we have been working closely with the LinkedIn team to deliver a powerful integration between our two systems.

The industry-leading integration, which should see recruiters who work extensively across the two platforms able to make significant time savings, will allow users with access to a LinkedIn Recruiter seat to see key information from their Recruitment Marketing CRM directly within LinkedIn Recruiter when reviewing candidates. Additionally, it will be easy to export new candidates from LinkedIn to your CRM with just a few clicks.

When working in Recruitment Marketing, recruiters will be able to view the LinkedIn profile of synchronised candidates directly from their candidate card. They can even send LinkedIn inMail to those candidates from within Recruitment Marketing.

Generative AI Powered Content Assistant

Creating engaging content which attracts visitors to your career site, and helps convert their initial interest in your organisation into applications, needs to be a key aspect of your Talent Acquisition strategy.

The introduction of our new Generative AI Powered Content Assistant gives you a significant helping hand in producing that powerful and authentic content. Backed by a large language model (LLM), the Content Assistant makes it easier for you to build out content for your career sites. This helps attract the best talent.

Building on the Recruitment Marketing suite's existing range of AI capabilities, the Content Assistant will roll out across various aspects of content generation in the coming months, starting initially with the Blogging functionality.

Expanded Project visibility options

Projects are an excellent way to collaborate with colleagues to build, manage, and nurture talent pipelines within your Recruitment Marketing CRM for certain roles, job families, or perhaps even specialised talent pools such as executive recruitment. The collaborative aspect is important, and this functionality will remain a key aspect of the Project's functionality.

You told us that the option to expand the visibility of certain Projects beyond just those named collaborators would speed you up. Now, we're introducing a new Project Visibility option to the configuration settings for Projects. Whilst the default option for new and existing projects will remain for them to only be visible to the named collaborators, a new option is available for the owner to make specific Projects visible to all recruiters.
