Configuring the candidate verification email

This article explains how to create and enable candidate verification emails in Recruitment Marketing. It covers creating the email, choosing the Candidate Verification theme, editing content, and enabling the email for all Calls-to-Action (CTA) in Company Settings. It also details verification options for candidates, including no verification, multiple device verification, or verifying all candidates, with chatbot integration.

Creating the candidate verification email

You will need to have a candidate verification email created before enabling this for use on all CTAs.

  1. From the side menu, under CRM, click Emails.
  2. Click New.
  3. Enter a name for the email.
  4. For What type of email would you like to create? select New email from theme.
  5. For the What will this email be used for? drop-down, select Candidate Verification.
  6. For Please choose a theme, select the Candidate Verification theme.

  7. Click the Save button.
  8. Under the Edit tab, edit the blocks of the email theme as required.

    Note:

    If the configuration of your system results in the verification email being triggered in multiple different scenarios, e.g., by chatbot interaction and via form-based calls to action, then ensure that the wording of the verification is generic enough to address all scenarios.

  9. Click the Next Step button.
  10. From the Settings tab, the Name, Subject, sender, and Preheader Text can be set.
  11. Click the Next Step button.
  12. At the Preview tab, review the email, and if required, click the Send test button to trigger a test email.

    Note:

    Test emails are non-repeatable. Only new recipients will receive subsequent tests and previously tested addresses are automatically excluded.

Enabling the candidate verification email

The following steps will enable a candidate verification email for all CTAs in Recruitment Marketing.

  1. From the side menu, under Company, click Settings.
  2. Under Emails, click Candidate emails.
  3. From the Please choose the email to be used for Candidate Verification drop-down, select the relevant item.
  4. Click the Save button.

CTA & Chatbot triggered candidate verification settings

The following steps will allow you to manage the candidate verification settings, namely, when a candidate should be required to submit a code to verify their account and device.

The chatbot also triggers the verification during registration to the talent network or the application capability. Whichever settings are chosen will be reflected within the chatbot. For information on chatbot capabilities, refer to Configuring your AI Chatbot Assistant.

Before making your choice, review the options below:

  • No verification.
  • Verify forms of candidates with multiple devices only: There is no verification required if the candidate is creating an account for the first time or if we already know about the device. However, a verification code is required if a candidate enters an email address on a new device, and an account with their email already exists. This scenario would typically happen when a candidate completes a call-to-action on their phone and has previously filled it out on their desktop. 
  • Verify forms of all candidates: Verification is required for all new accounts, or when the device is unknown and an account with their email address exists. No verification is required if the candidate exists, and we know about their current device.

To configure candidate verification settings:

  1. From the side menu, under Company, click Settings.
  2. Under Candidate, click Candidate verification.
  3. Select the relevant Candidate verification setting from the drop-down.
  4. Click the Save button.
