Triggering an automated Workflow by tagging a candidate

Recruitment Marketing Public

A Workflow is a series of automated actions that can be triggered when a candidate completes an action or gets tagged.

Depending on how the workflow is configured, the system will activate to perform one or more actions which could include:

  • Delivering an automated email to either the candidate or a team member, and
  • Delivering an SMS text message
  • Adding the candidate to a list or project.

This article explains how to set up the Workflow to trigger when a candidate gets tagged with a selected tag. See Candidate Tags to learn more.

Creating the workflow

  1. From the side menu, under CRM click Workflows.
  2. Click the New button.
  3. Enter a name for the workflow.
  4. From the What should trigger this Workflow drop-down, select Candidate tagged.
  5. From the Please Choose a Tag drop-down, select a tag.
  6. Click the Save button.

Creating the workflow step - candidate email

  1. On the Workflow page, click the New icon to add your first Workflow step.
  2. From the What kind of workflow step would you like drop-down, select Email to have the system send an automated email to all candidates who are tagged with your new tag.
  3. From the Who should receive the email drop-down, select The Candidate.
  4. Select the sender from the drop-down.
  5. Select which email will be sent.
  6. Click the Save button to return to the Workflow screen which should now be similar to this:

Now when a candidate gets tagged with the selected tag, they will receive the email selected in the workflow.

Note: If a candidate is tagged multiple times with the same tag, the workflow will only be triggered the first time. If you remove the tag and then tag them again it will be triggered again.
