LinkedIn CRM Connect: Configuration

Recruitment Marketing Public

Introduction

LinkedIn CRM Connect synchronises data from your Recruitment Marketing CRM and LinkedIn Recruiter to streamline your hiring process.

Having key data synchronised between these two important parts of your Talent Acquisition technology stack prevents the need for your team to be continually switching back and forth between systems. This allows them more time to focus on doing what they do best.

Connecting Recruitment Marketing and LinkedIn Recruiter delivers a powerful solution that allows you to find, engage, and nurture the best talent for your organisation.

Key features of the CRM Connect include:

  • In your Recruitment Marketing CRM
    • LinkedIn Profile Widget.
    • LinkedIn InMail History.

  • In LinkedIn Recruiter
    • 1-Click Export.
    • In-CRM Indicator.
    • In-CRM Tab.

If you have paid LinkedIn Recruiter seats, this integration is available to you provided your Recruitment Marketing package includes access to the CRM module.

For more information on how to use LinkedIn CRM Connect within your Recruitment Marketing system, refer to LinkedIn CRM Connect.

  9. The setup of the LinkedIn CRM Connect integration is now complete.

Recruitment Marketing will start synchronising data with LinkedIn Recruiter once activation has been completed. The LinkedIn CRM Connect Setup screen will show the date and time of the last sync.

Note: Upon initial activation of the integration, Recruitment Marketing will sync data for all existing candidates within your CRM to LinkedIn Recruiter. Depending on the size of your CRM database, this process may take several hours, or in some cases, several days.

The progress of the sync can be viewed directly from the LinkedIn CRM Connect Setup screen by clicking the Sync Logs tab.

Synchronisation Management

Once configured, you can pause the sync of data from your Recruitment Marketing CRM to LinkedIn Recruiter.

  1. Under Integrations within the main menu, select LinkedIn CRM Connect.
  2. From the integration Setup screen, select Pause Sync.
  3. The sync of data is now paused.

You can resume the sync of data at any time by repeating the steps above and selecting Resume Sync.

Synchronisation Logs

You can view a summary of the data synchronisation from your Recruitment Marketing CRM to LinkedIn Recruiter.

This information may help you understand the progress of the initial synchronisation, which occurs when the integration is first enabled. It also provides insight into any specific candidate records that may fail to successfully synchronise.

  1. Under Integrations within the main menu, select LinkedIn CRM Connect.
  2. Select the Synch Logs option at the top of the screen.
  3. From this screen, you will be able to view the status of the batches of candidate data that have been synchronised with LinkedIn. Candidates are synchronised in batches of up to 1000 candidates.
  4. If a particular batch shows that errors have occurred, you can select the View errors link against that batch to view the details of the specific errors.

The most likely cause of a candidate sync errors is:

  • The email address is invalid (or doesn't match the expected pattern)
  • The phone number is invalid (or doesn't match the expected pattern)

LinkedIn Recruiter Seats

As part of the synchronisation of data between LinkedIn Recruiter and your Recruitment Marketing system, the LinkedIn CRM Connect integration will attempt to automatically map individuals with a Recruiter seat within LinkedIn Recruiter to their corresponding user record within Recruitment Marketing. This mapping is necessary to ensure that actions carried out by the user on a particular record are correctly attributed to the user within the candidate timeline.

Note: it is important to ensure that all LinkedIn Recruiter members are mapped to a user account within Recruitment Marketing, as any inMail messages sent by an unmapped member will not be sychronised into Recruitment Marketing.

The mapping of users is primarily based on their email addresses. In situations where the email addresses map directly between the two systems, the alignment occurs automatically.

To view the mapped members:

  1. Under Integrations within the main menu, select LinkedIn CRM Connect.
  2. Select the Members option at the top of the screen.
  3. You will see a list of LinkedIn users who are currently allocated to a Recruiter Seat within the relevant LinkedIn Recruiter account.

On occasion, the integration will not be able to directly map users. This usually occurs when there is a disconnect between the email addresses that the user is utilising within the two systems. When this happens, it is possible to manually map the user records.

  1. From the Members option listed above, locate the LinkedIn member you would like to map.
  2. Under the Actions column, select the Edit option.
  3. From the list of Recruitment Marketing users displayed in the drop-down list, select the appropriate person.
  4. Click Save to complete the mapping.

Controlling Synchronised Data

A key part of the data that is synchronised between the Recruitment Marketing CRM and LinkedIn Recruiter is the candidate's membership of a Project within the Recruitment Marketing CRM.

There may be situations where you do not want specific Projects from your Recruitment Marketing CRM, such as confidential executive search, to be synchronised with LinkedIn Recruiter.

Only Projects where the Visibility Setting is set to 'Share this project with all recruiters' will be synchronised with LinkedIn Recruiter via the integration.

For information on Project settings, refer to Projects.
