Within the Recruitment Marketing module, Sourcing boards are being replaced by Projects.
In consultation with customers, any existing sourcing boards have been converted into projects, and the candidates assigned to those sourcing boards are now included in the project.
It is important to note that projects introduce the concept of a project ownership and collaboration. A particular project will only be visible to users who are assigned as the owner or a collaborator on that project. The project can be made visible to more people in the team by adding them as collaborators on that project. This can be done via the project settings.
The Sourcing board makes your pipelines more visible and facilitates more collaborative, more transparent recruiting. Built for volume, the boards can be populated with candidates sourced manually from the Recruitment Marketing module and / or external databases, or you can take advantage of the platform's machine learning capabilities and source candidates from the AI-generated PageUp Suggestions pool.
An example:
Creating a sourcing board
- From the side menu, under CRM click Sourcing.
- Click the New button.
- From the What is this sourcing board associated with drop down to indicate whether or not you would like your new board to be associated with a job.
- If you selected Associated with a job, when leveraging the PageUp Suggestions functionality, this board will surface candidates the system identifies as being a potential fit for the particular job in question. The user can then add as few or as many of these candidates as they wish to the board for further communication, nurture, and pipeline progression.
- If you selected Not associated with anything, this board is not constrained to any one, specific job but can still perform job-like actions. For example, you may wish to create a "job family" sourcing board to identify and manage candidates with an engineering focus. The sourcing board can look at a few sample engineering roles and, leveraging the PageUp Suggestions functionality, automatically surface candidates the platform recognises as being suitable based on their previous browsing and interaction history. As few or as many as you wish can then be added to the board.
- Alternatively, you could also create a board to manage candidates in relation to a project or event.
- Enter a Name for the sourcing board.
- Click the Save button.
Custom stages
Just as job descriptions differ from one role to the next, so too, do the recruiting requirements for each of those roles. The Sourcing Board lets users create and add fully configurable pipeline stages that can be edited and updated to reflect the preferred processes of their company, team, and/or each individual user in their account.
Actions options:
To rename a stage, click the Actions icon then click Edit Stage.
If your company does not require such flexibility, pipeline stages can also be pre-set to ensure consistency across all sourcing boards in your account. To view or configure this:
- From the side menu, under Company click Settings.
- Under Miscellaneous click Sourcing boards.
Sourcing board stages can also be re-ordered using the relevant Move stage option in the Actions icon drop down.
Once you are happy with the layout of your sourcing board, you can begin to populate it with candidates.
Adding candidates
Automated sourcing
The Suggestions option uses Artificial Intelligence to automatically collate a list of candidates from which you can then select those you wish to add into the various pipeline stages.
Manual sourcing
Sourcing boards can be populated with candidates sourced manually from the Recruitment Marketing module and / or external databases including Engage Talent, Hiring Solved.
You can add candidates manually as follows:
- Next to the relevant sourcing board / pipeline stage, click the Actions icon.
- From the drop down select one of:
- Source from CRM
- Source from Suggestions
- Source from Engage Talent
- Source from Hiring Solved
- In the Source candidates from pop up, are options to
- Match candidates with job - select a job from this drop down to access those candidates
- Use the search area and its filters to find candidates
- Click either the Select # candidate(s) checkbox or the checkbox next to a Candidate name.
- Click the Add button.
Messaging a pipeline stage
The Sourcing board is built for volume, and that extends to communicating with candidates.
You can bulk message all candidates in a stage at once via email or SMS text message as follows:
Email candidates
- Next to the relevant sourcing board / pipeline stage, click the Actions icon.
- From the drop down select Email candidates in this stage.
- In the Compose Email pop up, enter the required Subject and text. Click the Personalization drop down to select merge fields.
- Click the Send Email button contact all candidates in that stage.
SMS candidates
- Next to the relevant sourcing board / pipeline stage, click the Actions icon.
- From the drop down select SMS Candidates in this stage.
- In the Compose SMS pop up, enter the required Subject and text.
- Click the Send SMS button to contact all candidates in that stage.
